Enquiries arrive wherever the buyer chose to send them: the website form, a shared inbox, a salesperson's own email, a WhatsApp message, a voicemail, a LinkedIn message. Each channel has a different owner, or none. Nobody decides to ignore an enquiry. It slips because no one owns the gap between its arrival and the first reply.

The cost is hard to see, because a lost enquiry leaves no trace. There is no complaint and no refusal.

That is the thesis: an enquiry should never depend on someone noticing it. Capture, routing and follow-up are routine work for AI agents. The conversation stays with your people.

What the AI platform takes on

On an AI platform implemented inside your sales operations, AI agents handle the routine part of the job.

Capture. They pick up each enquiry where it lands, in the channels you connect, and record it in one place: who asked, what for, and how to reach them.

Sorting. They separate new business from support requests, supplier mail and spam. They add what the business already knows: an existing customer, an open quote, an earlier conversation.

Routing. They send each enquiry to the right person by rules you set, such as region, product or customer size, with the context already gathered.

Follow-up. They draft the first reply for a person to check and send. They remind the owner when an enquiry is waiting, and raise it with a manager when it waits too long.

The record. They keep a trail of every enquiry from arrival to outcome, so you can see what happened to it instead of guessing.

Where your customer relationship management (CRM) system allows it, the agents work inside it. If your team has to open another system to see its enquiries, it won't.

What stays human

Set these lines before anything goes live.

The conversation. A person speaks to the buyer. The agents prepare; your people sell.

What is promised. A person decides prices, discounts, delivery dates and scope. No agent quotes on its own.

Who is not a fit. Turning an enquiry away is a person's call, with the reason recorded.

What is sent. A person approves every reply before it goes. Your sales lead decides what the agents may send on their own, and that scope widens only when the record shows they have earned it. This is earned autonomy, and some decisions, like what you promise a buyer, never move.

How value is measured

Agree the measures, and record the starting baseline, before anything is built.

  1. Time from an enquiry arriving to a first reply from a person.
  2. The share of enquiries with a named owner by the end of the working day.
  3. Enquiries with no reply, or no outcome recorded.
  4. Enquiries that become a first meeting, and meetings that become a quote.
  5. Where enquiries come from, and which channels turn into business.
  6. Hours your sales team spends sorting inboxes, and where those hours go instead.

Report them each month in business terms. If the numbers don't move, the platform isn't working yet, and that is worth knowing early.

Where to start

Pick the channel that brings you the most new business. Implement capture, routing and follow-up for it fully before adding the next. One channel that never drops an enquiry teaches more than five that are watched when someone remembers.

Build, implement and run

At Futuvara, we build, implement and run AI platforms where AI agents do defined work under rules your business sets.

If you can't say what happened to last month's enquiries, start a conversation.
